A display label may contain several numbers, and only one of them may be the reference used to order the complete replacement. A unit serial number, a revision code and a part number answer different questions. Read the field names before choosing a sequence for the purchase request.
Separate the component reference from the individual unit
A part reference generally identifies an item or variant in the supplier's catalogue. A serial number identifies an individual manufactured unit. Two displays can share a part reference while carrying different serial numbers. Conversely, similar-looking serial numbers do not establish that the displays are the same product.
Label formats vary. Preserve the manufacturer's field names and the associated values rather than translating every number into 'model'. If the label has no readable field name, mark the role of that code as unconfirmed. Its length or position is not enough to establish what it represents.

For a practical example of separate identities, Danfoss's PLUS+1 identification information distinguishes serial number, part numbers, part revisions and application information. These are separate fields, not interchangeable names for one number. The example does not establish the label format used on a CAT or Cummins display.
Retain revisions and software information
A revision can qualify a hardware or part reference. Application or software information can describe another aspect of the configuration. Keep these details beside the principal reference when they are present. Removing a suffix to make a catalogue search easier can also remove information the supplier needs to assess the offer.
Do not assume that any revision difference prevents a match, or that it is harmless. Ask for the approved replacement relationship and its conditions. The supplier's response should identify the offered reference and explain whether the revision or configuration difference is covered.
If a normal, authorised information screen already provides software details, retain them as a separately labelled record. Do not treat them as text read from the physical label. A photograph of the exterior cannot prove the software currently loaded, and a software identifier alone does not describe the housing or connector arrangement.
Keep housing marks and package labels in context
A code moulded into a rear cover may identify a housing detail rather than the complete electronic assembly. A stock sticker may be a distributor's internal reference. Record where each code appears and who supplied its interpretation. Neither should displace the unit's identification information without a documented link.
The box label also needs to be tied to the unit inside it. Packaging from a previous part or a reused stock container can create a convincing but incorrect association. Keep the package reference and the component reference visible in the receiving record, then resolve any disagreement before assigning stock.
A barcode or QR code is another representation of data, not an automatic authenticity or fitment guarantee. Where a code can be read, compare its contents with the printed information and the supplier's documentation. An unexplained result remains an identification question rather than proof of the correct replacement.
When two suppliers use different references
Ask each supplier to map its offered number to the original component and the stated equipment application. One may be quoting an OEM service reference while another uses an internal stock number. A written cross-reference should make that relationship explicit and identify what is included in the offer.
Keep a small comparison with one row per offered item: original reference, offered reference, revision where stated, supply scope and unresolved conditions. Do not combine several alternatives into a single number before the match is established. The accepted reference should remain traceable to the evidence used to choose it.
When the printed number is too faint to distinguish, use the faded-label photography guide to improve the record without reconstructing missing text. Once the roles of the codes are clear, the Display product category provides a route for the enquiry. Send the complete identity record so the supplier can confirm the offered assembly rather than match an isolated number.
