How To Organize Photos For A Multi Unit CAT ECM Order

How To Organize Photos For A Multi Unit CAT ECM Order

Five sets of ECM photographs can become one confusing conversation if the pictures arrive without unit references. The main risk in a multi-unit order is not simply a blurred label. It is a clear label from one controller being combined with the connector view or machine record of another.

Give every original unit its own reference

Assign a short enquiry identifier before collecting images. Use it on the purchase line, the image folder and the comparison record. Keep it separate from the part number because the part identity may still be unresolved. The identifier should continue to point to the same physical unit even if the proposed replacement changes.

A simple sequence such as Unit A, Unit B and Unit C is sufficient within one clearly identified enquiry. Place the corresponding card beside the unit in an overview photograph without covering its label. Photograph one unit at a time, and check that each subsequent close-up belongs to that overview.

Keep the picture sets small and complete

Use a consistent naming rule for the file purpose: overview, label, connector and mounting view. These names describe the evidence rather than making an application claim. Include another view only when it resolves a particular question, such as a second connector obscured in the overview.

Store the unedited originals with any annotated comparison copies. Keep supplier images in a separate subfolder clearly identified as offered parts. Otherwise, a supplier's clean catalogue image can later be mistaken for the removed unit when the enquiry is passed to the receiving team.

Attach the relevant machine and engine identities to the unit record. If two controllers came from the same fleet, that does not mean their applications are identical. If one is an unused spare of unknown origin, record that condition instead of assigning it to a machine from memory.

Make each order line independently reviewable

Each line should identify the original unit, its confirmed reference where available, the requested quantity and the offered replacement. Add links to the corresponding images and the supplier's application explanation. A reviewer should be able to evaluate one line without searching through the entire message history.

Separate the number of originals photographed from the quantity being ordered. One photographed sample does not automatically establish that all requested units share its configuration. State which machines or confirmed applications the quantity covers, and retain the evidence supporting any grouped line.

For example, two lines may ultimately use the same confirmed replacement reference. They can share a stock item while retaining separate equipment records. Consolidating the commercial quantity should not erase the evidence showing why the part was accepted for each application.

Control corrections and supplier alternatives

When a label transcription changes, update the existing unit record and note the correction. Do not create a second unidentified folder that leaves both versions appearing current. Keep the original image so the revised reading can be checked by another person.

If a supplier proposes two alternatives, give each its own offer reference under the relevant unit. State which one is accepted, rejected or awaiting clarification. A general reply saying 'confirmed' is ambiguous when several controllers and alternatives appear in the same conversation.

Before placing the order, compare the acknowledgement against the accepted lines. Check that quantity, offered reference and any configuration conditions remain tied to the correct unit group. A copied part number on the wrong line can survive a photograph review unless this commercial document is checked too.

Receiving records should use the same line references. Record the supplied unit identities and any discrepancy against the accepted offer. Keep delivery evidence separate from installation confirmation: arrival at the warehouse does not establish that a controller has been fitted or approved in operation.

The CAT electronic parts category helps organise the product enquiry, while the engine serial-number guide explains the equipment information behind each line. A well-organised order preserves the link from original unit to accepted replacement, even after the photographs have passed through several people.
